Where it helps

Start with this part of the work.

Inquiries arrive through different channels. Staff repeatedly look up information, summarize requests and draft similar replies, while handoffs can lose the next action.

For foreign trade and cross-border e-commerce teams in mainland China and Hong Kong. This page describes scope for assessment; the agreed proposal defines the final deliverables.

What do we assess first?

  • A redacted inquiry and an existing reply, including the language and common questions.
  • Reviewed product information, reply rules and the people approving prices, delivery dates and claims.
  • Your email, support or customer management tools. Their interfaces and permissions are checked before any connection is agreed.

Redacted examples are enough for an initial conversation. Account access uses an agreed secure authorization method.

Possible deliverables

Make each step reviewable.

Scope each item against the available material, interfaces and business rules, with defined inputs, outputs and reviewers.

01

Inquiry summary

Extract agreed fields such as product, quantity, region and missing details, retaining the source for staff review.

02

Reply drafts

Draft replies from approved information. Missing facts and questions outside scope are flagged for staff.

03

Follow-up and handoff

Organize the next action and reminders under agreed rules. Sending and writing back to a system require a separate agreement on access and approvals.

Before production

Confirm the requirements before the plan.

Connections depend on available interfaces, authorized accounts and the agreed data scope. Model, API, server and maintenance costs are listed in the proposal. Platform support and automatic outbound sending are agreed before implementation.

Pricing, delivery schedule, data location, maintenance ownership and acceptance thresholds are agreed per project. Technical delivery does not guarantee inquiries, sales or revenue.
Acceptance questions

How will we check that it works?

Test with agreed samples and criteria, recording failures and unresolved items. Specific measures are agreed before development.

  1. Can each key field be checked against the original inquiry, and are missing quantities or product identifiers flagged?
  2. Are replies involving prices, delivery promises or claims blocked from sending until approved?
  3. How are insufficient facts handed to a person, and how are errors, handoffs and duplicate reminders assessed and reviewed?
